We are seeking enthusiastic and dedicated parents to help with various aspects of planning and executing Showcase 2025. Your involvement will directly contribute to creating a memorable and enriching experience for our students and the community.
If you are interested in volunteering your time and talents to help make Showcase 2025 a success (see roles below), email the volunteer coordinator at volunteer@cphsmusic.org. Please indicate your areas of interest or any specific skills you would like to contribute. Our first fall planning meeting is on August 20, 2025.
Oversee overall project management for Showcase event – organize and support committees & Leads
Work with Mr. Jimenez to develop the calendar, schedule, theme, timeline, and communications
Handle all logistics for event day/night – including venue & vendors
Manage ticketing, seating, and guest check-in/check-out
Lead team soliciting donations from the community
Manage donation inventory & spreadsheet
Collaborate with Auction Lead to create auction items (baskets, placards, etc.)
Coordinate all auction activities including online and live auction
Manage spreadsheets/software for auction
Coordinate check-out process with Treasurer
Oversee auction fulfillment and guest concerns
Plan event layout and manage set-up/clean up
Work with Donations Lead on auction item creation and input
Solicit desserts from businesses and families
Schedule drop-off times
Set up and clean up dessert tables
Coordinate dessert auction – including entering into online auction
Set up and take down busking supplies
Manage cash collection and counting
Coordinate parent volunteers
Secure busking sites
Design and order raffle tickets
Solicit or order raffle prizes (for Busking and Event)
Prepare and distribute Raffle Packets
Track funds raised with Treasurer
Provide fundraising incentives to students & families
Plan event decorations
Gather materials and set up/take down decorations
Coordinate volunteer sign-ups
Manage volunteers at the event
Post schedules and facilitate volunteer shift changes
Coordinate group photos (with photographer)
Ensure sound equipment is available and set up under Mr. Jimenez’s direction
Manage video recording of the event
